My Department's core IT infrastructure is provided by the Office of the Government Chief Information Officer (OGCIO) under the 'Build to Share Managed Desktop' Shared Service. An Acceptable Usage Policy is in place governing the use of all ICT services including internet, email, instant messaging and collaborative applications on official devices including computers, laptops and mobile phones. In addition, a Mobile Phone Policy defines acceptable, safe, and secure standards for the use and management of official mobile phone devices.
These policies incorporate obligations under Circular 09/2019 ‘Policy on the Use of Private Email and Other Private Messaging Services’ which sets out requirements relating to the use of private email or other private messaging services to conduct official government business and the consequences of non-compliance. The policies require that official communications are conducted through approved Government systems and prohibit any practices that would circumvent security controls, data protection requirements, or statutory obligations, including under Freedom of Information and National Archives legislation.
